Summit Special Ltd – Terms and Conditions

1. Contract

These terms and conditions cover your contract with Summit Special Ltd. Your contract will exist once you (the client/party leader) have paid the required deposit and a booking form, completed and signed by you, has been received by Summit Special Ltd. We will then issue you with a booking confirmation, which you must read carefully. No contract shall exist between you and Summit Special Ltd until a confirmation of booking showing the arrangements booked has been issued.  In the event of your booking being less than 10 weeks before the date of departure, the full balance of booking is payable immediately. No contract will exist until the full balance payment and the completed booking form have been received and booking confirmation issued. Acceptance of the confirmed booking will be deemed as acceptance of these terms and conditions.

2. Making a booking and Payment.

A completed booking form showing the names of all persons on whose behalf you are making the booking, must be accompanied by a non-refundable deposit 30% of the total booking price. The person who signs the booking form will be treated as doing so on behalf of and with the consent of all persons for whom the booking is made. That person will be responsible to Summit Special Ltd for full payment, including any cancelation or alteration charges, of the booking.  The full balance of the booking is payable to Summit Special Ltd no later than 10 weeks before the date of departure. If Summit Special Ltd does not receive the outstanding balance on time, we reserve the right to cancel the booking, retain the deposit and levy charges. If the booking is made within 10 weeks of departure, you must pay the balance in full when submitting the booking form.

3. Price.

All prices are quoted in sterling. Prices include accommodation, food and beverages as stated in the booking confirmation.

Prices do not include French Tourist Tax, Taxe de Sejour. This is payable locally at the rate applicable at the time of your stay. We will advise you of that rate once it is confirmed with the French authorities for the relevant dates.
The price does not include any ancillary products or services such as flights, transfers, ski school, equipment hire, lift passes, travel to and from home airports, insurance or the room supplement for under occupancy. Price pages are accurate at the date of publication but may be subject to change. We reserve the right to increase or decrease our website prices at any time.  Once you have a confirmed booking, the price of your holiday is guaranteed, with the exception that in the event of increases due to Government levies, increased taxes or fuel charges, Summit Special Ltd may pass those increases onto the client. Child discounts of 20% are available for children aged 12 years and under and a flat rate of £150 for those under two years of age.  These discounts are only available to those children that eat from the children’s menu at the earlier sitting. These discounts are not available during at peak times or in conjunction with the group booking discount.

4. Force Majeure.

Summit Special Ltd cannot pay compensation, issue refunds or accept liability for changes we are forced to make to your holiday contract resulting from circumstances amounting to Force Majeure. These include, but are not limited to, war, riot, civil action, terrorism, strikes, natural disasters, fire, industrial disputes, technical problems, inclement weather, natural or nuclear disasters, government action, travel restrictions, significant risks to human health such as the outbreak of serious disease including any mutation of and the ongoing effects of Covid-19, or other events beyond the control of Summit Special Ltd.

Please ensure that your travel insurance policy covers you adequately for Covid 19 related issues such as travel disruption. Summit Special cannot provide isolation/quarantine facilities beyond your departure date. You will be required to leave Chalet Gentiane on your agreed departure date so that we can honour our agreements with other parties.

5. Cancellation by the client.

Cancellation will only take effect when written notification is received from the person signing the booking form. If cancellation is received in more than 10 weeks before the date of departure, your deposit will be forfeited. If written notification is received within 10 weeks of departure, the following percentage charges of the total holiday price will apply in addition to the loss of deposit payments

**Please note that for part cancellation of a sole occupancy booking, no refund of the full Sole Occupancy price will be payable**

  1. More than 10 weeks – Deposit retained
  2. Less than 10 weeks – 40% of the total holiday price retained
  3. Less than 6 weeks – 60% of the total holiday price retained
  4. Less than 4 weeks – 80% of the total holiday price retained
  5. Less than 2 weeks – 100% of the total holiday price retained

6. Alteration by the client.

You may request an alteration to the confirmed booking and we will do our best to help, however alterations are subject to availability and it may be beyond the control of Summit Special Ltd to accommodate all requests but we will do our best. Where applicable, any additional charges incurred through such amendments will be payable by you. Any amendments to a booking will be charged an administration fee of £30. Changing a name within a booking will not attract an administration fee.

7. Cancellation or alteration by Summit Special Ltd.

Summit Special Ltd will do our best to inform you as quickly as possible of any changes to your booking. We reserve the right to make minor alterations to holiday arrangements without incurring liability to the client.  In the unlikely event of Summit Special Ltd having to make major alterations to, or cancellation of a booking, we will offer an alternative holiday or if this is not suitable to you, a full refund of all money paid.

8. Client liability and behaviour.

Summit Special Ltd wants all guests to have a fantastic holiday. We expect all guests to behave in a way that does not cause alarm, annoyance or distress to any other guests, staff or neighbours of Summit Special Ltd. Any behaviour that may cause such alarm, annoyance or distress, or may cause damage to property or the reputation of Summit Special Ltd will not be tolerated.  Summit Special Ltd reserve the unconditional right to terminate the contract and provision of services for any guests whose behaviour falls below these expectations and demand that they vacate the premises with immediate effect. Summit Special Ltd will have no further contractual obligations with the guest or guests involved and will not be responsible for any additional costs incurred by the guest/guests as a result of contract being terminated in this way. The guest/guests will also be liable to pay, in full and immediately, the costs of any damage caused to the chalet or its contents.

9. Travel.

For travel to France, UK citizens require a valid passport. Guests of other nationalities should consult their embassy for details of entry requirements. Travel to and from the chalet is the responsibility of the guests and any delays to flights, trains, ferries or transfers are not the responsibility of Summit Special Ltd.

10. Insurance.

It is your responsibility to ensure that you are adequately insured for all aspects of your holiday and Summit Special Ltd require that all guests staying with them are insured. We will ask you to provide written confirmation that you have adequate insurance and provide policy details before you travel. Summit Special Ltd cannot be held responsible for any loses resulting from lack of insurance. You should ensure that your policy covers you for Covid-19 related matters such as additional accommodation in the event of having to quarantine or self isolate. You will not be permitted to remain at Chalet Gentiane beyond your agreed departure date.

11. Arrivals and Departures.

Your holiday with Summit Special Ltd commences at 1600hrs on the day of arrival and lasts until 1000hrs on the day of departure.  Your room will be available to you from 1600hrs. If you arrive earlier and wish to explore the village, we can provide storage for your luggage until the room is ready. On the day of departure, we ask that you vacate the Chalet by 1000hrs to enable our staff to prepare the room for the next guests. For the benefit of our new guests, there will be no access to the chalet so that it can be cleaned, sanitised and prepared by the staff for our incoming guests.

12.Smoking Policy.

Smoking in all forms is prohibited anywhere inside the chalet.  The chalet has been fitted with smoke detectors, fire extinguishers and exit signs for guest safety. If you do smoke outside the premises, please discard your cigarette ends considerately.

13. Accuracy.

All of the information provide by Summit Special Ltd on the website and other forms of communication is, to the best of our knowledge and belief, accurate at the time of printing. Whilst accuracy is not guaranteed, the information is provided in good faith. Any item or service that is not expressly mentioned as being included in the holiday price is included at the discretion of Summit Special Ltd and can be removed at any time.

14. Complaints.

We very much hope that you do not feel it necessary to complain about any aspect of you stay with Summit Special Ltd. If however, you have any issues or concerns during your stay, we would like to do all that we can to rectify the issue. Please let the chalet staff know immediately to give us the opportunity to address these matters so that they do not undermine the enjoyment of your holiday. If the issue cannot be addressed in resort and you wish to make a formal complaint, please do so in writing within 28 days of returning from your holiday. We regret that we cannot deal with any complaints or accept liability after this time period.

15. Jurisdiction.

These terms and conditions and any contract to which they apply are governed in all aspects by English law and shall be subject to exclusive jurisdiction of the courts in England.

16. Personal Liability.

Summit Special Ltd accepts no liability for any accident, losses or suffering arising for any reason during a guests stay in the resort. The company will offer assistance and do all they can to help but this assistance is free, unqualified and carries no liability whatsoever. Guests are strongly advised to check carefully that their insurance provides sufficient personal injury cover.

17. Privacy Policy.

Any information that we collect during the booking process or during your holiday will not be used for any purpose other than the booking and confirmation of that holiday. We will retain contact details in order to provide you with future news and offers relating to your holiday. We will not pass on your details to any 3rd parties unless you specifically instruct us to do so in relation to the booking of holiday services such as transfers and equipment hire and childcare.
